Adding staff and assigning roles
Invite team members, assign roles, and control access to orders, products, POS, and settings.
As your store grows, you will hire cashiers, inventory clerks, and managers. Oshop247 role-based permissions let each person do their job without exposing sensitive settings or financial data.
Staff management requires the staff_roles feature on your plan and appropriate permissions to invite users.
Invite a team member
- Open Staff & Roles in the admin sidebar
- Click Invite staff
- Enter their name and email
- Select a role (Cashier, Manager, etc.)
- Send invitation
They receive an email with a link to set their password and access admin. Invitations expire โ resend if they did not act in time.
Built-in roles
Oshop247 includes preset roles such as:
- Owner / Admin โ full access including billing and settings
- Manager โ orders, products, reports; limited settings
- Cashier โ POS-focused with restricted admin areas
- Inventory staff โ stock adjustments without financial settings
Review permission summaries before inviting. When in doubt, start with fewer permissions โ you can expand later.
Custom roles
On plans that support it, click Roles & permissions from the Staff page to create custom roles. Toggle granular permissions:
- View vs edit products
- Process refunds
- Access reports
- Open POS sessions
- Manage customers
- Adjust inventory
Custom roles help franchises where HQ controls catalog but branch managers fulfil orders.
Branch assignment
On multi-branch plans, assign staff to specific branches under branch settings. A Lagos cashier should not see Abuja inventory unless their role requires it.
Owners and regional managers typically retain all-branch visibility.
Deactivate vs delete
When someone leaves the business, deactivate their account instead of deleting. Deactivated users cannot log in, but their historical actions remain in order notes, POS sessions, and activity logs for audit.
Reactivate if they return seasonally (e.g. holiday temp staff).
Security habits
- One login per person โ no shared "shop password"
- Remove access same day someone leaves
- Managers approve refunds, not every cashier
- Review staff list monthly for dormant accounts
Customer-facing staff accounts
Staff logins are for admin and POS only โ not customer storefront accounts. Your buyers still checkout as guests or registered customers separately.
Good permissions feel invisible day-to-day but prevent expensive mistakes when something goes wrong.
